What should you do in the first month of an approved project?

Once the excitement of approval settles, the first four weeks decide how smoothly the rest of the project runs. A first-month to-do list, from the grant agreement to the evidence folder.

Who it's for: Coordinators and partners whose application was approved · 6 min read

Week 1: Agreement and internal procedures

Read the grant agreement sent by the national agency and start the signing process. The project start date, pre-financing rate and reporting dates are in the agreement; enter them in your calendar straight away.

Open the project file in your organisation. For schools under the Turkish Ministry of National Education (MEB), the project details must be entered in PPTS through the provincial or district directorate.

Week 2: Kick-off meeting with partners

At an online kick-off meeting, re-read the plan in the application together. Confirm activity dates, name a contact person at each partner and choose a communication channel.

Sign a partnership agreement between the coordinator and each partner. It should state clearly when and how each partner's share of the grant will be transferred.

Week 3: Tasks and timeline

Update the timeline from the application with real dates. Break each activity into tasks with an owner and a deadline. Even if the first mobility is months away, set start dates now for preparations such as travel, accommodation and parental consent.

Week 4: Evidence and dissemination routine

In the final report you will need to show that the activities took place and what they achieved. Rather than collecting this at the end, set up a routine from the first month.

  • A shared folder structure: attendance lists, agendas, photos and products per activity
  • Consent forms from parents and participants for photos and personal data
  • A pre-test or baseline measurement: baseline data to prove results must be collected now
  • Dissemination channels: school website, social media, the eTwinning project space
